1. Scope and Controller

This Privacy Policy explains how Aries Health collects, uses, stores, shares and protects personal data when you visit arieshealth.ae, use Aries Health platforms, receive employer-sponsored health benefits, request claims support, or otherwise interact with us.

Aries Health may act as a data controller for direct interactions with you and as a processor or service provider when we support an employer, insurer, broker, third-party administrator, healthcare provider or benefits sponsor.

Where a service is delivered by a licensed insurer, broker, TPA, hospital, clinic, pharmacy, diagnostic centre or wellness partner, that organisation may also process your data under its own privacy notice and regulatory obligations.

2. Information We Collect

We collect only the information reasonably required to operate corporate health benefits, group medical insurance support, wellness programmes, healthcare access, member service and claims workflows in the UAE.

  1. Identity and contact details such as name, work email, personal email, mobile number, date of birth, gender, nationality and preferred language.
  2. UAE eligibility and verification details such as Emirates ID, UAE Pass verification status, visa or work-permit details, employee code, department, grade and dependent relationship information.
  3. Employment and benefits details shared by your employer or sponsor, including enrolment status, coverage tier, policy number, network tier, premium contribution and AED billing information.
  4. Health and insurance information needed for care coordination, authorisations, claims, reimbursement support, medical reports, prescriptions, diagnostic records, appointment notes and wellness participation.
  5. Technical information such as device type, browser, IP address, cookie identifiers, page views, audit logs and security events when you access our websites or digital products.
  6. Communications with Aries Health through email, phone, forms, chat, surveys, campaigns, support tickets and consultation requests.

3. Sources of Information

We may collect information directly from you or receive it from authorised parties involved in your benefits journey.

  1. Your employer, HR team, benefits sponsor or authorised company representative.
  2. UAE Pass, Emirates ID or other identity-verification channels where you choose or are required to verify eligibility.
  3. Licensed insurers, brokers, reinsurers, TPAs, claims processors and e-card providers.
  4. DHA, DOH, MOHAP or other regulatory systems and healthcare-sector platforms where lawful and relevant to a requested service.
  5. Hospitals, clinics, doctors, pharmacies, diagnostic centres, telehealth providers and wellness partners.
  6. Technology, hosting, analytics, communications, payment and customer-support vendors acting on our instructions.

4. How We Use Personal Data

We use personal data to deliver Aries Health services safely, lawfully and efficiently.

  1. Create, verify and manage member profiles for employer-sponsored health benefits.
  2. Support enrolment, endorsements, deletions, dependent additions, e-card issuance and policy administration.
  3. Coordinate appointments, telehealth, pharmacy, diagnostic, wellness and care-navigation services.
  4. Process cashless and reimbursement claims, prior authorisations, AED invoices, premium adjustments and claims status updates.
  5. Communicate benefit information, service reminders, claim updates, wellness programme notices and administrative messages.
  6. Operate employer dashboards, analytics and reporting in aggregated or de-identified form wherever practical.
  7. Prevent fraud, abuse, unauthorised access, security incidents and misuse of our platforms.
  8. Comply with UAE PDPL obligations, healthcare-sector requirements, insurance rules, court orders, audit needs and lawful regulator requests.
  9. Improve our products, service quality, clinical-safety workflows, user experience and operational reliability.

We do not sell your personal data to third parties for independent advertising purposes.

5. Lawful Basis, Consent and Sensitive Data

Depending on the service, Aries Health may process personal data because it is necessary to perform a contract, comply with legal obligations, protect vital interests, support legitimate business operations, or because you have provided consent.

Health information, claims data, Emirates ID details, UAE Pass verification data and dependent records may be sensitive in nature. We handle such information with enhanced safeguards and limit access to authorised personnel and partners who need it for the relevant service.

Where consent is required, you may withdraw it by contacting us. Withdrawal may affect our ability to provide certain benefits, claims support, healthcare coordination or regulatory services.

6. Insurance, Healthcare and Claims Partners

To administer health benefits in the UAE, Aries Health works with licensed insurers, brokers, TPAs, healthcare networks and service providers. These partners may need specific information to confirm eligibility, approve treatment, settle claims, issue e-cards, reconcile AED invoices or meet healthcare-sector obligations.

  1. Insurers and TPAs may receive member, policy, claims and medical-support data required for adjudication and settlement.
  2. Hospitals, clinics, pharmacies and diagnostic partners may receive eligibility and authorisation details to provide requested care.
  3. Employers may receive benefits-administration reports, enrolment status, claims summaries and aggregated utilisation insights, subject to confidentiality and data-minimisation controls.
  4. Regulators or authorities may receive information where disclosure is required or permitted under UAE law.

7. Disclosure and Service Providers

We share personal data only where there is a lawful purpose, appropriate authorisation, a service need, a regulatory requirement or a legitimate operational reason.

  1. Aries Health personnel, affiliates and authorised representatives who need access to deliver services.
  2. Employers, sponsors, insurers, brokers, TPAs, healthcare providers and wellness partners involved in your benefit plan.
  3. Technology, cloud hosting, analytics, cybersecurity, communications, document-management, payment and customer-support vendors.
  4. Professional advisers, auditors, consultants, insurers and potential successors in a restructuring or business transfer, subject to confidentiality safeguards.
  5. Government bodies, courts, regulators, law-enforcement agencies or healthcare authorities where disclosure is required or permitted by law.

8. Storage and Cross-Border Transfers

Your data may be stored or accessed in the UAE or in other jurisdictions where Aries Health, our cloud providers, insurers, TPAs or service partners operate. When data is transferred internationally, we use contractual, technical and organisational safeguards intended to protect it in line with applicable UAE requirements.

We seek to keep healthcare and insurance records available only to the teams and partners that need them for service delivery, compliance, security, audit or dispute-resolution purposes.

9. Security Measures

We use reasonable administrative, technical and physical safeguards to protect personal data against unauthorised access, loss, misuse, alteration, disclosure or destruction.

  1. Role-based access, least-privilege permissions and periodic access reviews.
  2. Encryption, secure transmission, audit logging and monitoring for sensitive workflows where appropriate.
  3. Vendor due diligence, confidentiality obligations and incident-response procedures.

When data is no longer required, we will delete, anonymise, aggregate or securely archive it in accordance with applicable law and internal retention practices.

  2. We may need to verify your identity using reasonable checks, which may include Emirates ID or UAE Pass-related confirmation where appropriate.
  3. If your data was provided by your employer, insurer or benefits sponsor, we may need to coordinate with that organisation before completing the request.
  4. We may decline or limit requests where retention or processing is required for legal, healthcare, insurance, fraud-prevention, dispute-resolution or regulatory reasons.

13. Dependents and Family Members

If you provide information about a spouse, child, parent or other dependent, you confirm that you are authorised to share it for benefits administration, healthcare coordination, insurance processing or claims support.

For minors and dependents, we use the data only for the relevant coverage, care, claims, identity, compliance and support purposes.

14. Communications and Marketing

We may send service, claims, enrolment, security and administrative communications that are necessary for your benefits relationship. Where permitted, we may also send wellness content, product updates or event invitations relevant to Aries Health services.

You can opt out of non-essential marketing communications using the unsubscribe option or by contacting us. Service and compliance messages may still be sent where necessary.

15. Changes to This Policy

We may update this Privacy Policy from time to time to reflect service changes, legal updates, regulatory guidance or operational improvements. The updated version will be posted on arieshealth.ae with a revised date.

16. Governing Law and Grievances
